As this is a serious and multifaceted role within our CPA firm, we seek a highly organized and meticulous individual who can effectively manage a demanding workload and contribute significantly to the important work of our office. This position requires someone who can thrive in an environment with high professional standards while maintaining accuracy and attention to detail. As our Paralegal and Office Coordinator, you will be the heartbeat of our firm, providing essential support across all departments. You will play a crucial role in managing heavy discovery workloads for our family law and commercial law cases, ensuring that every detail is meticulously handled. Here is what your day-to-day will look like: Key Responsibilities: Discovery Management: · Manage e-discovery processes, including data collection, processing, review, and production. · Dive deep into client setups, drafting engagement letters and retainers. · Track case deadlines, manage discovery processes, and assist with the preparation of financial affidavits. · Analyze requested documents, perform data entry, and support forensic accounting. · Use and update forms prescribed in the Florida Rules of Civil Procedure. Client Interaction: · Be the first point of contact for clients, coordinating meetings, Zoom calls, and telephone conferences. · Manage various calendars, correspondence, invoices, and client payments with a friendly and professional demeanor. Financial Data Management: · Utilize document management systems for three departments, including litigation, tax, and audit. · Manage physical files to include trial binders and related support. · Demonstrate proficiency in Microsoft Excel, Microsoft Office, QuickBooks, Quicken, and the Thompson Reuters suite. Administrative Support: · Coordinate with vendors, manage office equipment and supplies, and oversee kitchen needs. · Maintain accurate records of time and assist with periodical billing. · Plan and organize firm lunches, celebrations, and team-building activities. · Other tasks as needed. Daily Operations: · Open the firm daily, ensuring the lobby, kitchen, conference rooms, and common areas are ready by 8 am. · Track projects and deadlines, ensuring timely completion. · Support the audit department by processing financial statements with precision. · Assist the firm administrator with processing and assembling tax returns. · Processing daily mail and bank deposits. · Handle occasional firm errands efficiently and draft firm and departmental engagement letters. Who You Are: Technical Skills: · Working knowledge of family law and commercial law discovery processes. · Advanced Microsoft Excel skills and proficiency in document management systems. · Ability to analyze and interpret data for discovery purposes. · Efficient management of multiple calendars, tasks, and deadlines. Soft Skills: · Strong learning agility and eagerness to expand current skill sets. · A communicator who connects with clients, attorneys, vendors, and colleagues. · Empathetic and understanding of clients in legal situations. · Detail-oriented, organized, and a problem solver who thrives in high-pressure environments. · Ability to work solitarily and in group settings. · Adaptable, resilient, and a team player with a positive attitude. Experience: · A seasoned or mid-level professional with litigation support experience and a passion for family law and commercial law cases. · Experience in e-discovery processes, document review, data analysis, and forensic accounting is a plus. · Florida Notary preferred. No certifications are required. Compensation Range: $55,000 – $65,000 annually, commensurate with experience.
