The Program Coordinator reports to the Director of Community Education and Youth Programs and works closely with the Operations Coordinator to support the facilitation of classes and youth programs. This position serves as a primary lead for Special Studies and provides collaborative support for Youth Programs. The ideal candidate for this position has strong skills in written communication, managing detailed program information, and timely task completion.

About the Work

  • Coordinate the class proposal review and scheduling process for Chautauqua’s Special Studies program (weekly in-person summer classes).
  • Serve as liaison to Youth and Family Programs leadership team to plan special programs, such as presentations from visiting program guests and cross-departmental engagement opportunities.
  • Work closely with community instructors and cross-departmental colleagues on class development.
  • Coordinate student communication related to Special Studies.
  • Create content in Chautauqua’s Online Classroom using a third-party learning management system.
  • Serve as digital host to support facilitation of online classes, including: meeting moderation, recording and storing content, managing class rosters.
  • Manage program information entry and edits utilizing internal scheduling software.
  • Work collaboratively with other program leaders to effectively utilize resources and solve problems.
  • Provide day-to-day support during the 9-week Summer Assembly Season for Special Studies staff members including hiring and payment management.
  • Serve as liaison to program volunteers.
  • Coordinate the program assessment process.

About You

Education

  • Preferred high school diploma or equivalent

Experience

  • 1-3 years of related program coordination experience in community education, recreation, summer camps, or multigenerational learning programs

Knowledge, Skills, and Abilities

  • Strong written and verbal communication skills
  • Ability to accurately manage detailed information
  • General knowledge of software systems used for program planning processes: primarily scheduling and roster management
  • Strong time management applied to detailed task completion
  • Comfort adapting to changes in program priorities and needs
  • Familiarity with Microsoft Office products

Chautauqua Institution is a not-for-profit global convener of dialogue on the most significant issues of the day through engagement across four pillars: the arts, education, religion, and recreation. The Chautauqua community is located on the shores of Chautauqua Lake in southwestern New York State. It comes alive each summer with a unique mix of visual and performing arts, lectures, interfaith worship/programs, and recreational activities. Chautauqua Institution owns and operates Chautauqua Hotel Company, a comprehensive hotel, food and beverage, conferencing, and events organization. The Institution’s office in Washington, DC, is strategically located to play an ongoing role in the nation's cultural conversations.

Community Education and Youth Programs reports through the Program Office and works closely with the Education, Recreation, Religion, and Performing and Visual Arts departments to deliver multigenerational engagement opportunities through a variety of program delivery methods. The full portfolio includes in-person and virtual classes, interdepartmental classes, day camps, youth activities center, pop-up programs, and special events. Programming is facilitated year-round with most programs occurring June through August.

About Your Work Schedule & Location

This position is at Chautauqua Institution’s main campus in Southwestern New York (Chautauqua County). The schedule is full time and may include daytime and evening hours, weekdays, and weekends, especially in the busy summer operating season and during project go-live periods. This position may work remotely or a hybrid schedule, mid-September through mid-June

The compensation for this opportunity starts at $17.00/hour, and with demonstrated experience or advanced education, candidates may earn up to $22.00/Hour. The Institution supports planning for retirement through a discretionary employer retirement contribution, which has recently been (10%) of gross compensation following a designated service period.
