Job Summary:
The Receptionist for Health and Wellness, primarily appointed to the Furman Counseling Center, is integral to the clinic's operations and serves as the first point of contact for students seeking mental health support. This role involves managing the front desk, answering phone calls, and greeting visitors professionally and sensitively. The receptionist schedules appointments, manages the clinic's electronic medical record system, and handles various administrative tasks, including processing documentation and maintaining confidential records. They provide information to students, direct inquiries to appropriate staff, and ensure a welcoming and organized environment in the reception area. The Receptionist plays a key role in coordinating communication between students and mental health professionals, contributing to a supportive and efficient mental health care experience on campus.

Job Description:

DUTIES & RESPONSIBILITIES:
  • Open the clinic daily and ensure readiness for patient care.
  • Checks every morning for evening calls to After Hours Emergency Service. Makes copies of reports and provides them to the clinic leadership
  • Provides clerical support for the Counseling Center.
  • Answer phone lines accurately, clearly, and sensitively; expedite any medical emergencies.
  • Manage appointments, schedule changes, and messages in an Electronic Medical Record (EMR) system.
  • Assist students by scheduling appointments, answering questions, and providing information; refer emergencies immediately to clinical staff.
  • Observe strict patient confidentiality.
  • Files paperwork daily and shreds old materials or documents as needed
  • Tracks clinic utilization data.
  • Assists with mailings and processes incoming documentation, including, but not limited to incoming material for student files sent by outside clinicians.
  • Process emails and faxes daily.
  • Runs department-related errands as needed.
  • Cross coverage
    • Covers administrative assistant in Furman as needed
    • Provides receptionist function for PCHS as needed
  • Arrange space and set up audio-visual for meetings or presentations as needed.
  • Maintain office supplies and arranges for office equipment repairs
  • Performs other related duties as required.
  • Monitors waiting lists and follows up daily with students who are still unscheduled.
  • Monitors clinical and Zoom room availability for the counseling services practitioners
  • Under the direction of the Department manager, enter demographic information in EMR for statistical purposes.
  • Greet and direct patients and visitors in a professional and friendly manner.
  • Maintain appointment calendars and coordinate follow-up visits.
  • Handle patient check-in and check-out processes efficiently.
  • Maintain and update patient files and records accurately.
Confidentiality and Compliance:
  • Hold confidential all identifiable health information learned in performing duties in accordance with FERPA.
Skills, Qualifications & Requirements:

Knowledge, Skills & Abilities:
  • Excellent oral and written communication skills.
  • Strong computer skills, including proficiency in Microsoft Office and Google Suite programs.
  • Ability to function effectively in a busy office environment and multi-task independently.
  • Adherence to policies concerning confidentiality of personal information relating to patients and staff.
  • Clear and direct communication with diverse staff, student body, and parents, both on the phone and in person.
  • Good judgment and the ability to deal calmly and effectively with people.
  • Excellent interpersonal skills, including tact, patience, sensitivity, and adherence to patient confidentiality in an open waiting room.
  • Proven ability to work effectively in a collaborative, multidisciplinary team setting.
  • Commitment to fostering an inclusive and supportive community for all students.
  • Capacity for strong situational awareness and rapid escalation of complex issues to senior leadership in health and wellness.
Required Experience:
  • Two years of college or business school and 1-3 years of experience, or high school graduate and 3-5 years of experience.
Preferred Experience:
  • Experience working in a mental health clinic or medical clinic
  • Experience in working with an EMR (electronic medical record) system is preferred, specifically Point-N-Click
Software: Microsoft Office Suite (Word, PowerPoint, Publisher, Excel), Google Suite (Sheets, Docs, Gmail),

Hours:
  • Full time, 12 months
  • 35 hours per week in person (9am-5pm, 1-hour lunch break)
  • Summer hours: M-Th 9:30am-4pm, Fri until 1pm
  • 5 days per week, in person.


This is a local 2110 grade 6 position.

Pay Rate: $ 30.58/hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
